Insurance verification for orthodontic practices

Orthodontic benefits turn on details a general check skips: the lifetime ortho maximum and what remains, adult and child age limits, waiting periods, banding date rules, work in progress, and whether the plan pays automatically, monthly or quarterly. Ardent verifies them with the payer and fills your orthodontic breakdown before the consult or start.

  • Ortho maximum and remaining, ortho deductible, age limits, payment schedule and the D8090 percentage.
  • Works with Cloud 9 and OrthoTrac through the NexHealth Synchronizer.
  • Your own orthodontic sheet, measured once and filled in your notation.
  • A blank orthodontic benefit worksheet is free to download.

On the sheet

What an orthodontic breakdown needs

An orthodontic office verifies a different set of facts than a general one. Ardent fills each from what the payer stated and keeps the source behind it.

  • Lifetime orthodontic maximum and what remains, and the ortho deductible.
  • Adult and child age limits, and any waiting period.
  • Coverage by CDT code, including the D8090 percentage.
  • Banding date rules and work in progress.
  • How and to whom the plan pays: automatically, monthly or quarterly.
  • Pre-determination, timely filing and coordination with a second plan.

How it works

How does Ardent verify orthodontic benefits?

Ardent works each payer’s own channels in order, the provider portal first, then a benefits fax or 270/271, then an AI voice call to the provider line for anything still open, and fills your sheet blank by blank. On Cloud 9 the general worksheet’s ortho block is filled like every other block, and the PDF goes into the patient’s documents before the visit.

  1. Connect your PMS. Cloud 9 through NexHealth’s cloud path, or OrthoTrac through the NexHealth Synchronizer on your server. See the Cloud 9 and OrthoTrac pages.
  2. Measure your sheet once. An orthodontic sheet is set up the same way as any other, by measuring its blanks once.
  3. Verify before the consult. Anything Ardent could not verify is listed, with the reason, in a 7:00 AM email to the front desk.
