Insurance verification for multi-location groups and DSOs

Ardent verifies every scheduled patient’s dental benefits across all of a group’s locations, fills each location’s breakdown form and writes it back to the practice management system. Each location runs as its own practice in Ardent, with its own connection, schedule, sheet, timezone and 7:00 AM email, so a front desk only sees its own exceptions.

  • One practice per location: its own PMS connection, timezone, breakdown sheet and morning email recipients.
  • A location can use the group’s shared worksheet or its own, measured once.
  • Works with the systems groups run on, including Dentrix Enterprise, Denticon, CareStack and Curve Dental.
  • HIPAA Business Associate, with a BAA for every practice.

How it works

How does Ardent work across several locations?

Each location is set up as its own practice in Ardent. It has its own connection to the practice management system, its own breakdown sheet, timezone and 7:00 AM email recipients, and its own hourly polling and 6:00 AM run, so one office’s exceptions never land in another’s inbox.

  1. Connect each location. Through the NexHealth Synchronizer for systems such as Dentrix Enterprise, Denticon and Curve Dental, or directly for CareStack. See the integration pages for each system.
  2. Choose the sheets. One shared general worksheet for the group, or a location’s own sheet, measured once and filled in its notation.
  3. Supervised first run, location by location. Polling, the 6:00 AM ahead-of-visit run, the morning email and automatic filing are switched on one at a time for each location.
  4. Exceptions go to the right desk. Each location’s 7:00 AM email lists only its own appointments that could not be verified, with the reason.

Consistency

One standard for every location’s breakdowns

Groups often find each office verifying a little differently. Ardent works each payer’s channels in the same order everywhere: the provider portal first, a requested benefits fax or clearinghouse 270/271 where that is how the payer answers, then an AI voice call to the provider line for anything still open. Every value keeps its source, and a blank no one stated stays blank rather than guessed.

  • Playbooks for 71 payers, including 42 Delta Dental member companies. Payers Ardent verifies
  • Every value traceable to a portal record and screenshot, the fax lines, or the rep’s recorded words.
  • Ardent fills 99.8% of sheet fields accurately; results are informational and each office confirms coverage with the payer.
